Introduction

Inviting your team members to Cynoia allows you to collaborate effectively by sharing projects, tasks, calendars, etc. This guide will walk you through the steps to invite your team members to your organization.


Steps to invite team members

Step 1: Go to organisation settings

  1. From your dashboard, head to the bottom-left corner of the left sidebar.

  2. Click on Organisation settings.

Step 2: Go to the teams tab

  1. On the Organisation settings page, you will see a few tabs in the sidebar.

  2. Click on the Teams tab to manage your people.

Step 3: Invite your team members

  1. In the Teams tab, find the Invite new member button in the top right-hand corner.

  2. Click this button to open the invitation form.

Step 4: Fill in the invitation form

  1. Email address: Enter the email address of the team member you want to bring on board.

    • To invite more than 1 person, just add their emails one by one, repeating this step.

  2. Role: Choose the access level for this new member:

    • Owner: Has full access to manage the organisation, settings, and team members.

    • Editor: Can create and update content across all apps.

    • Viewer: Can view content but cannot make any changes.

Step 5: Send the invites

  1. Double-check the details you have entered.

  2. Click "Send" to fire off the invitation.

Step 6: Wait for them to join

  1. Your team member will receive an email with simple instructions on how to join your organisation.

  2. Once they accept and set up their account, they will show as "Active" in your member list.

  3. If they have not accepted yet, they will show as "Pending".

Quick steps (for chatbots and emails)

  1. Go to Organisation settings (bottom-left sidebar).

  2. Click on the Teams tab.

  3. Click Invite new member.

  4. Enter their email and select a role (Owner, Editor, Viewer).

  5. Click Send.

  6. Wait for them to accept the invite.

Handy tips

  • Check spelling: Double-check the email addresses so the invite goes to the right person.

  • Give them a heads-up: Let your team know to look out for an invite email from Cynoia.

  • Resend invites: If someone did not get their email, simply delete the pending invite and send a fresh one.

Q1: The invited member did not receive the invitation email. What should I do?

  • Ask them to check their spam or junk mail folders.

  • Check that you have entered the correct email address.

  • If necessary, delete the pending invitation and send a new one.

Q2: How many team members can I invite on the different plans?

  • Community Plan: allows up to 10 users per workspace.

  • Pro Team Plan: the price is per user; you can invite as many users as needed, paying per user.

  • Pro Team Unlimited: offers an unlimited number of users per workspace.

Q3: Can I invite collaborators or external clients?

  • Yes, you can invite external users by following the same steps. Assign the appropriate roles to control their access.
